Privacy Policy

This Privacy Policy sets out how we collect, handle, process and store certain information about individuals.

These individuals, also knowns as “data subjects” can include business contacts, scientists, and other people that the entity has a relationship with or may need to contact.

The WIC is committed to handle personal data in compliance with applicable data protection laws, including EU Regulation 2016/679 on General Data Protection Regulation (GDPR).

In this privacy policy, we describe what personal data we collect and process, for what purposes, who are the recipients, how long such data is retained, whether we transfer it to third parties, and what are your rights as data subjects.

What personal data do we collect ?

The WIC may collect certain personal data to the extent necessary to achieve the purposes outlined in this policy. In most instances, we collect personal data from the data subjects directly, as follows:

1. Information when you visit our website

When you visit our website, we may process information on the region you are visiting us from, your operating system and browser, your user behaviour on our site during the current session, and whether you have visited us before. For this, we use cookies.

2. When you register to our newsletter

When you wish to receive our latest news, you have to subscribe online where we will request certain personal information such as name, surname, and email.

3. When you contact us

If you contact us for inquiries, we will store your data in connection with this particular inquiry, such as contact details, information on your request, and log data. In some cases, we may ask you to provide additional information to handle your inquiry.

Why we process personal data and on what basis?

The WIC takes your privacy seriously and we process your data for one or more of the following purposes:

  • To respond to requests for information;
  • To inform the Users about the latest news published on the WIC website;
  • To establish, carry out and conduct the contractual relationship with the User;
  • For the User to participate in surveys, reports, etc.;
  • To invite the User to events and deal with the event organisation;
  • To incorporate user’s personal data into one or more automated files (Mailchimp, Survey Monkey, Joomla, etc.);
  • To analyse, adapt and improve the content of the website;
  • For administrative purposes.

How do we use cookies, analysis, tracking tools, etc.

When you use our tools, cookies are uploaded to your browser. Cookies may be used to identify your browser so that our website is displayed correctly. We also use cookies at various points on our website to analyse the use of our website and thereby optimise it.

In addition to our own systems, we also use the following third-party tools for communication purposes and to make your experience with the Wine Information Council website more user-friendly.

Cookies

Cookies are text files put on your computer to collect standard internet log information and visitor behaviour information. This information is then used to track visitor use of the website and to create statistical reports on website activity.

When a user accepts WIC cookies, this consent will be valid for 24 hours, after which the cookie files are automatically deleted, and the system will ask for your consent again.

Google Analytics

Google Analytics is a third-party information storage system that records information about the pages you visit, the length of time you were on specific pages and the website in general, how you arrived at the site and what you clicked on when you were there.

We therefore use Google Analytics to track visitor use of the website and to create statistical reports on website activity.

For these purposes, Google collects information related to web traffic and the number of visitors. The Data (Page URL address, IP address & device information) are kept locally on the memory of the user’s browser and may transferred to Google’s servers.

Internet Based Advertising

We use Facebook, Twitter and Google Plus advertising services – e.g. social media buttons – and as such there are tracking codes code including cookies from these companies installed on our website so that we can manage the effectiveness of these referrals. We do not store any personal data within this type of tracking. Please refer to the privacy policy of these companies for more information.

Disable cookies

You can disable Cookies in your web browser. However, this may disable all cookies used by your browser, including those from other websites, which may cause certain settings or information to be altered or lost. Disabling cookies may change your browsing experience on the Site or may make navigating around the Site more difficult.

You can disable cookies in your web browser as follows:

Microsoft Internet Explorer 8.0 and above:

  • Select Tools > Internet Options.
  • Click on the General tab and then the Delete… button.
  • Make sure to uncheck Preserve Favorites website data and check both Temporary Internet Files and Cookies then click Delete.

Chrome:

  • In the browser bar, enter: chrome://settings/clearBrowserData
  • At the top of the “Clear browsing data” window, click “Advanced”.
  • Select the following:
  • Browsing history.
  • Download history.
  • Cookies and other site data.
  • Cached images and files
  • From the “Time range” drop-down menu, you can choose the period of time for which you want to clear cached information. To clear your entire cache, select All time.
  • Click “CLEAR DATA”.
  • Exit/quit all browser windows and re-open the browser

Firefox:

  •  From the History menu, select Clear Recent History.
  • If the menu bar is hidden, press Alt to make it visible.
  • From the Time range to clear: drop-down menu, select the desired range; to clear your entire cache, select Everything.
  • Next to “Details”, click the down arrow to choose which elements of the history to clear; to clear your entire cache, select all items.
  • Click Clear Now.
  • Exit/quit all browser windows and re-open the browser.

Microsoft Egde:

  • In the top right, click the Hub icon (looks like star with three horizontal lines).
  • Click the History icon (looks like a clock), and then select Clear all history.
  • Select Browsing history, then Cookies and saved website data, and then Cached data and files. Click Clear.
  • After the “All Clear!” message appears, exit/quit all browser windows and re-open the browser.

Safari 8 and later:

  • From the Safari menu, select Clear History… or Clear History and Website Data….
  • Select the desired time range, and then click Clear History.
  • Go to Safari > Quit Safari or press Command-Q to exit the browser completely.

Why and who do we share your personal data with?

We share and transmit your personal data for successfully delivering WIC services based on your consent, legitimate interest or contractual agreement.

Where this is the case we will take steps to make sure the right security measures are taken so that your privacy rights continue to be protected as outlined in this policy.

We may share your data with 3rd parties such as:

  • Employees and technical experts (internal and external): for the performance of the services;
  • Subcontractors and service providers (including IT, software, logistics, etc.): We use IT infrastructure including cloud-based servers, networks, and software solutions of national and international companies to provide our services, such as:
    • Apogee: Apogee is the data processor responsible for the development of the Wine Information Council website. As such, Apogee has access to personal data processed through the website such as the contact log.
    • Mailchimp: we use this platform to send newsletters, invitations to events, and general communications.

Transferring your information outside of europe

As part of the services offered to you through this website and the Wine Information Council development and functioning, the information which you give to us may be transferred to countries outside the European Economic Area (“EEA”). For example, some of our members, data processors and sub-contractors may be located outside of the EEA.

Where this is the case we will take steps to make sure the right security measures are taken so that your privacy rights continue to be protected as outlined in this policy.

How do we protect your data?

When you give us personal information, we take steps to make sure that it’s treated securely.

Non-sensitive details (your email address etc.) are sent normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.

Once we receive your information, we make our best effort to ensure its security on our systems. Such measures include anti-virus protection, secure data transfer between our online communication tools, our applications and backends, via SSL (Secure Socket Layer) encryption procedure.

Profiling

We do not analyse your personal information to create a profile of your interests and preferences.

You have a right at any time to stop us from contacting you.

How long will we hold your data for ?

The WIC will only keep your personal data for the time that is strictly necessary to achieve the purpose(s) for which they were collected, unless applicable law requires us to hold on to the data for an extra period of time after the end of said contract or project.

You may request us to delete your personal data at any time (see your rights under 11). However, this might prevent us from keeping you informed about WIC activities.

Your data will be kept according to the following principles:

  • External Communication (newsletters, press releases, etc.): We will hold your data for a period of 10 years with a review every 5 year. You will have the opportunity to opt out, update or delete data at any point. The procedure to follow is set out in this policy.
  • “Contact us” page: Should you contact us through the “Contact us” webpage, we will make sure to get back to you as soon as possible. Your data will be deleted after 30 days. If we think that we should need to keep your contact details for future cooperation, we will inform you by email and ask you for your consent to keep your contact information. If you refuse, your contact details will be deleted immediately.
  • Events:The data requested for the good organisation of an event will be kept during and for no more than 3 months after the end of the event. Only Users who have given consent to receive further information will continue to receive communications from the WIC.

Access to your information, correction, portability and deletion

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all your personal information, please email: info@wineinformationcouncil.eu. We will respond to your request within one month of receipt of the request.

We want to make sure your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate by sending an email to: info@wineinformationcouncil.eu.

Objections to processing of personal data

It is your right to lodge an objection to the processing of your personal data if you feel the “ground relating to your particular situation” apply.

Your Right to be Forgotten

Complaints

If you feel that your personal data has been processed in a way that does not meet the GDPR, you have a specific right to lodge a complaint with the relevant supervisory authority. The supervisory authority will then tell you of the progress and outcome of your complaint. The supervisory authority in Belgium is the Commission for the protection of privacy.

We keep our privacy policy under regular review and we will place any updates on this web page. This privacy policy was last updated on 25 May 2018 and the Version number is 0.1 in line with the new GDPR guidelines.
